What is Navifleet Manager and what is it for?
Updated: 3 August 2026
Navifleet Manager is a system for managing a fleet of vehicles and their equipment. It enables digital handling of the processes related to vehicle handovers, checking their technical condition and monitoring all deadlines and recurring events related to their use, both operational and formal. The system is based on a web version and a mobile app. The digital administration panel replaces scattered paper documentation and centralises all fleet information.
What is the system for?
The system lets you assign resources to groups that reflect the company's organisational structure, both by function (e.g. service, sales, pool cars) and by geography, depending on the organisation's needs. This makes it possible to manage user permissions precisely and restrict access to only the resources needed to perform their duties.
Navifleet Manager helps streamline and organise the daily processes involved in managing a fleet as well as machinery and equipment used in the field. The main goals of the system are:
digitising vehicle and equipment handover reports,
reducing paper documentation and manual administrative processes,
monitoring service deadlines and fleet obligations,
centralising documentation and the usage history of vehicles and equipment.
Who is the system for?
Navifleet Manager is intended for companies that have a fleet of vehicles or machinery.
The system is used by, among others:
drivers using company vehicles,
field workers using company equipment,
fleet managers responsible for overseeing the fleet,
administrative staff handling fleet documentation.
Main system features (system modules)
Handover reports
For shared resources, users can collect and return vehicles or equipment themselves and generate reports in the mobile app without an administrator's involvement. Supervised mode, on the other hand, allows a vehicle or equipment to be handed over with a manager's involvement, e.g. for vehicles permanently assigned to a specific user.
The module lets you:
create vehicle or machinery handover reports in the mobile app,
take photo documentation,
collect electronic signatures directly on the mobile device,
create documents by drivers, fleet administrators and the people collecting equipment,
automatically generate related documents, e.g. entrustment agreements.
Inspections
The system supports various mileage units, both kilometres and engine hours, which is particularly important for machinery and vehicles with specialist bodywork (e.g. an aerial platform).
The module lets you:
check the technical condition of vehicles and equipment,
report defects with photo documentation,
report damage to a vehicle,
verify the additional equipment assigned to a vehicle
Scheduler
The module lets you manage mandatory deadlines, such as:
technical inspections,
insurance policies,
tachograph calibrations,
equipment inspection dates,
operational dates, e.g. oil, filter or brake pad changes, allowing you to record the service history of a vehicle or equipment.
The module provides:
automatic reminders of upcoming deadlines,
a central view of all operational obligations,
easier control over the timeliness of service activities.
Key benefits
Using Navifleet Manager allows you to:
eliminate paper reports and traditional documentation,
centralise vehicle and machinery data,
archive policies, documents and event history,
standardise vehicle and equipment fittings using checklists,
streamline vehicle and machinery handover processes,
reduce errors thanks to digital process handling in the mobile app,
gain better control over the fleet's technical condition through regular inspections,
automate reminders about service dates, inspections and insurance,
build a full history of use and events related to a vehicle or equipment.
All processes are organised and standardised, so that all system users work according to the same standards and procedures.
