ITS/VDO and GDPR messages in the tachograph - guide
Updated: 23 April 2026
What does the “Complete ITS and VDO data” message in the tachograph mean?
The tachograph may display the message “Complete ITS and VDO data - YES/NO”.
This is not an error. It only means that the device needs to add missing technical data to its memory in order to work correctly with the card.
What to do?
Always select “YES”.
Consequences of refusing
If you select “NO”, the tachograph may block the ability to make a manual entry or will display this message every time the card is inserted.
Data sharing (GDPR / ITS) – Why is it important?
At the end of the login procedure (after the manual entry and country selection), the tachograph asks about sharing personal data (for example “Export personal data?”, “ITS configuration” or “GDPR”).
Why do you have to select “YES"?
Enabling the ITS (Intelligent Transport Systems) interface allows your data (first name, surname, card number) to be sent to telematics systems (for example Navifleet).
If you select “NO":
- the Navifleet system will not recognise who is behind the wheel,
- the live working time view will be unreadable for the forwarder/HR officer,
- the tachograph will ask again every time the card is inserted.
Step-by-step guide (Logging in the card)
The procedure is very similar in most tachographs, although the names of the messages may differ.
Step 1
Insert the driver card. Insert the card into the tachograph and start the standard login procedure: confirm the time the card was last removed and make the manual entries (rest).
Step 2
Select the start country. Select the country in which you are starting the current working period.
Step 3
Select the data sharing option (ITS). At the end of the procedure a message appears, for example: “Export personal data?”, “Personal data”, “ITS configuration”.
By selecting:
- YES – the driver's data (first name, surname, card number) will be sent to the Navifleet system,
- NO – the identification data will not be shared.
Step 4
Confirm the setting. Press the OK button. From this moment: data is sent for as long as the card is logged in, and the Navifleet system can assign the activity to the specific driver.
Changing the setting in the tachograph menu
If the “NO” option was selected when the card was logged in and you want to change it without removing the card, you can do so in the device settings:
- Enter the tachograph's Main Menu (OK button).
- Select “ENTER VEHICLE" or “CONFIGURATION".
- Find the “PERSONAL DATA" or “ITS INTERFACE" section.
- Change the setting to “YES" and confirm with the “OK" button.
Regulatory compliance (GDPR)
Under the EU regulation, the driver has the right to decide whether their data is shared via external interfaces. Selecting “YES” in the tachograph is a form of informed consent to the processing of data for the company's operational and settlement purposes.
If the Navifleet system reports missing driver data even though a card is inserted, the most common cause is precisely that “NO” was selected when logging in to the tachograph. In that case, instruct the driver how to change this setting in the device menu.Recommended articles
