What are Defects and what is their role?
Updated: 20 August 2026
Defects let you report and document technical problems with vehicles. Each report can be supplemented with a description, photos and other files, and its status can then be updated as the repair progresses. This way you can check a vehicle's defect history, how they were handled and the documents related to the repair in one place.
Who can report a vehicle defect?
A defect can be reported by a user who has access to the given vehicle.
Administrator, Moderator and Moderator+ can report defects on the vehicles visible to them.
Vehicle user can only report a defect on the vehicle they are currently assigned to.
Vehicle users only have access to the Navifleet Manager mobile app, so they can only report defects there. Users with other roles can report defects both in the mobile app and in the browser version of the system.
How to display the list of reported defects?
Reported defects can be displayed:
in the details of a selected vehicle (there you will find defects concerning that vehicle),

on the main defects list (there you will find reports concerning all vehicles you have access to).

How to change a defect's status?
Each defect has a status indicating the current stage of its handling. The available statuses are:
New
Not repairing
Reported for repair
Being repaired
To be settled
Repaired
To change a defect's status, select the appropriate value in the Status field.

How to add an invoice or other repair document?
Files related to handling the defect can be attached to the report, e.g.:
photos of the damage,
a cost estimate,
a service report,
a scan of the invoice for the part replacement or repair.
To add a document, go to the selected defect and attach it in the Files section.
