What are Inspections and what is their role?

Updated: 20 August 2026

In the Navifleet Manager system, the Inspections tab is used to monitor the technical condition of the fleet on an ongoing basis and to record inspections submitted directly by drivers. Inspections fall into three categories: Reports, Defects and Damage. Instead of paper forms, the vehicle user carries out vehicle checks and visual inspections in the mobile app, using standardised checklists. Inspections can be performed by users with the roles Vehicle user, Moderator, Moderator+ and Administrator. Read how to perform vehicle inspections in the Navifleet Manager app.

Where are inspection results shown?

Issue, return and inspection reports for all vehicles are available in the Reports sub-tab in the side menu, in the Inspections section. The report list shows information about problems reported in a given report - these may be new damage, missing equipment or any other problem marked in the checklists as a Issue. Double-click a report to open the details view.

Quick inspection filters

All completed inspections can be filtered by the inspection author, vehicle and inspection type: Inspection report, Issue report or Return report. The filters are in the table header.

A vehicle issue, return or inspection report also updates the Checklists and New damage columns on the vehicle list. This lets you quickly assess which vehicles need attention.

Reports

In this section you will find all vehicle handover reports generated in the system.

On the list you can check:

  • the date the report was created,

  • reported damage,

  • the checklist status,

  • notes,

  • the report author,

  • the vehicle assigned to the report,

  • the report type.

From the list you can also:

  • filter reports by date range.

  • go to the details of a selected report.

Report details

To go to the details of a selected report in the Reports sub-tab, click the arrow at the end of the row or double-click the date the report was made.

In the new window for the selected report you will see::

  1. Information about the date and time the document was created and the status of problems/defects.

  2. The report type, vehicle details, the full name of the person issuing and the person receiving, the date and place of the event, the odometer reading and fuel level or battery charge, as well as any saved notes.

  3. A summary of the verified items. If the system detects something missing or non-compliant with the requirements, these items are highlighted in red text.

  4. The content of comments and reservations raised in this particular report.

  5. Thumbnails of all photos uploaded in the report (general photos and photos documenting damage).

  6. Digital images or renderings of the signatures made by the parties confirming the vehicle's condition.

Defects

The Defects section contains reports of vehicle breakdowns and technical problems. Read more about this in the article: What are Defects and what is their role?

Damage

In the Damage section you will find the history of all reported vehicle damage. Read more about this in the article: What is the Damage section and what is its role?

Settling damage claims brings many benefits in terms of monitoring vehicle condition and keeping reports clear. You can find more information on this in the article The benefits of an organised damage history.

How to make sure employees carry out inspections regularly?

The system can be configured to regularly remind vehicle users to perform an inspection. To do this, you can use the message templates feature. App users who currently have a vehicle assigned will then receive a request to perform an inspection. Within an organisation you can define many message templates, so they can depend on the vehicle type or the position of its user.

How to delete an inspection?

To maintain a reliable history of the vehicle's condition, handover reports and inspections cannot be deleted or modified once their authors have signed them.
