How does self-service vehicle collection by drivers work?

Updated: 24 August 2026

Instead of preparing a paper vehicle handover report, you can let drivers collect a vehicle themselves and complete an electronic report.

The driver carries out the whole process on their own:

  • confirms collection of the vehicle,

  • enters the odometer reading,

  • adds photos and reports any damage,

  • signs the report electronically.

This reduces the amount of administrative work and speeds up vehicle issue.

How to set up self-service vehicle collection by drivers?

To set up self-service vehicle collection:

  1. Invite the driver to create an account.

You can read more about inviting users to the appin a separate article.

  1. Mark the vehicles as publicly available; drivers will only be able to collect such vehicles themselves, provided that they are not being used by someone else at the time.

Issuing a vehicle as publicly available applies to drivers only. The fleet administrator can still issue any vehicle to themselves or to other users, even if it has not been marked as publicly available.
