What are Message templates and what is their role?

Updated: 24 August 2026

How do message templates work?

Message templates let you set up one-off or recurring notifications sent to fleet users. Among other things, they can be used as reminders to:

  • enter the odometer reading,

  • perform a vehicle inspection,

  • change tyres,

  • carry out other recurring or one-off fleet maintenance tasks.

Within one organisation you can create many message templates at the same time. Each template can have its own content, sending schedule and group of recipients.

How to set up a message template?

In the template settings you can define:

  • the template name (a working name, visible only inside the system),

  • the date of the next send,

  • the send type (recurring, one-off),

  • the frequency of recurring sends,

  • the group of users the message is to be sent to,

  • whether to skip users who have no vehicle assigned at the time of sending,

  • the template status (messages are sent only for active templates),

  • the message content.

Messages are sent to all users who have an e-mail address assigned. Having an account in the app or an assigned role has no effect on whether messages are sent.

In what form are messages sent?

Messages from templates are currently sent by e-mail only.

How to delete a message template?

To stop sending messages from a given template, change its status to “

Archived. Templates marked as archived are not used for sending messages. You can reactivate an archived template at any time and resume using it to send messages.
