What are Groups and what is their role?

Updated: 24 August 2026

If you want to learn the general principles of how groups work in Navifleet Manager, read How do groups affect data visibility?

What is the role of groups?

Groups in Navifleet Manager are used primarily to control access to data in the app. They let you define which users see specific vehicles and resources in the system.

In addition, the app records the time of every change to a vehicle's or user's group, so you can easily establish how their membership changed over time.

A vehicle can only be in one group at a time

Every vehicle and every user can only be in one group at a time. We introduced this restriction so that in future it is possible to determine unambiguously which branch a person worked at, or which project a vehicle was assigned to.

Tip!
If you want to reproduce a tree structure, you can do so with appropriate group naming, for example:
- Project A / North Region / Gdańsk,
- Project A / North Region / Ełk,
- Project B / Central Region / Warszawa,
- and so on...

  1. Moving a person from the view on the left called Users with access to this group to the view called Users without access to this group will revoke their access.

Once created, the group appears on the group list. The list shows the number of assigned objects and users, and the people who can see the contents of the group.

Editing a group

To edit a group:

  1. Go to the Settings tab in the side menu, then click Groups.

  2. Select the group you want to edit from the list.

  3. Click the group and choose the area to edit (Assigned vehicles, Assigned users, Visible to).

If you want to know how to assign a user to groups, or revoke their access, read How to manage user permissions?

Groups in Navifleet Manager let you organise data and restrict its visibility to selected users only. This lets you manage access to vehicles, drivers and other resources securely, in line with your company's organisational structure.
