Scheduler settings

Updated: 24 August 2026

Tailoring the Scheduler to your own needs lets you manage your vehicle fleet and user documents effectively. The configuration is done in the browser version of the system and covers a few key areas.

Division into categories and object types

The Scheduler automatically aggregates information in the summary view, dividing it into dedicated categories. This makes it easier to manage different types of deadlines and keep track of whether they are up to date.

You will find detailed information on the categories in the article: What is the Scheduler and what is its role?

Deadlines can be assigned both to vehicles and to users.

Personalising notifications and updates

For each deadline type available in the Scheduler (Insurance policy, Roadworthiness test, Periodic service, Leases, Calibration, Driver document, Other) you can individually configure how notifications are generated.

To go to the configuration:

  1. Go to the Settings tab in the side menu.

  2. Select the Scheduler settingssub-tab.

  3. Click the chosen deadline type.

As part of the configuration, you can define the following settings:

Generate notifications

Specify how far in advance notifications about upcoming deadlines of the given type should be generated. Notifications can be generated based on the date or the odometer reading.

Send notifications to

Select the fleet administrators who should receive notifications for the given deadline type. This way, different people can be responsible for monitoring individual areas, e.g. insurance policies or servicing.Send notifications to – screenshot of the Navifleet app

Notify user

A "yes/no" field. When this option is enabled, the system sends an e-mail to the user linked to the deadline:

  • if the deadline is assigned to a vehicle, the notification goes to the vehicle's current user,

  • if the deadline is assigned to a user, the notification is sent directly to them.

E-mail message for the user

In this field you can enter the text of the message that will be sent to the relevant user together with the notification.
