What are Fleet instructions and what is their role?
Updated: 21 August 2026
Fleet instructions are a place to store and share with drivers the documents, procedures and rules that apply in a transport company. Their role is to organise communication within the fleet and give drivers easy access to current instructions and guidelines.
This article describes how to add documents whose content is common to all vehicles. To add an instruction related to the use of a specific vehicle, see the article describing how to add files to a vehicle.
How to add a fleet instruction?
To add a fleet instruction:
Go to the Settings tab.
Select the Fleet instructions sub-tab.
Click the Add button.
Keep in mind that:
each document must be assigned to at least one company (read here what companies are and what their role is),
the same document can be assigned to several companies at once,
if different documents apply within a company, you can add several documents and assign each one to a different company (this way, every user of a vehicle belonging to a specific company will see only the documents assigned to it).
Editing a fleet instruction template
A fleet instruction, like documents for signature, lets you go back to the added document template and edit it. To edit a fleet instruction:
Go to the Settings tab.
Select the Fleet instructions sub-tab.
Click the instruction, then press Edit (top right corner).
In the Document template field, delete the existing file, then add the correct one.
Save the changes.

Deleting a fleet instruction template
As with documents for signature, a document template cannot be deleted. To archive a fleet instruction:
Go to the Settings tab.
Select the Fleet instructions sub-tab.
Click the instruction, then press Edit (top right corner).
In the Status field, select Archived.
Save the changes.
