What are vehicle handovers in the Navifleet system?

Updated: 20 August 2026

Usage history and records

Keeping a consistent history of vehicle assignments is the foundation of fleet management. It helps you avoid problems when identifying who committed an offence (fines can arrive even a year later) and gives you full online control over company property.

Handover types and their rules

In the system you can:

  • issue a vehicle to a user,
  • take a vehicle back,
  • hand a vehicle over directly from one driver to another.
The available action depends on whether the vehicle is currently assigned to a user.

Issuing a vehicle is only possible for a vehicle that has no user assigned. During issue you can create a handover report, but this is not mandatory. The exception is self-service vehicle collection by drivers, in which case a report is required.

Returning a vehicle is only possible for a vehicle that was previously issued to a user. During return you can create a handover report, but this is not mandatory.

Driver-to-driver vehicle handover lets you hand a vehicle directly to the next driver, without first returning it and collecting it again. In the mobile app a single handover report is created, signed by both drivers.

This feature is disabled by default. For drivers to use it, the administrator must first enable it in the system settings. See how to enable the feature and hand a vehicle over to another driver.

Driver-to-driver vehicle handover

The driver-to-driver vehicle handover feature is disabled by default. To use it, the administrator must first enable it for the selected vehicle.

To enable the feature:

  1. In the web version of the system, open the details of the specific vehicle.

  2. Go to the Handover methods section.

  3. Tick the Driver-to-driver handover option.

Once enabled, the driver will be able to hand the vehicle over directly to another driver in the Navifleet Manager mobile app. See how to hand over a vehicle step by step.

Automatic usage history

Regardless of whether a vehicle is issued, returned or handed over directly between drivers, the system automatically records its usage history. This applies to handovers both with and without a report. See how to view the usage history.

Quick access to handover reports and custody agreements

In the vehicle details, the Usage history tab shows the periods during which the vehicle was used by particular people or groups (read more about groups). If documents such as a handover report, agreement, terms of use and so on were signed with a given user, you can also view them from here.

To view the documents:

  1. Go to the Vehicles tab in the side menu.

  2. Select the vehicle from the list or find it using the search box on the right.

  3. In the vehicle details, go to the Usage history tab.

  4. The list shows the detailed usage history of the selected vehicle.

  5. Click the drop-down menu at the end of the given usage period, then select View documents from the usage period.

Vehicle handover with an electronic report

Detailed instructions on how to create an electronic report can be found in a separate article: Electronic handover report. The list of all handovers with a completed report is in the side menu under Inspections, in the Reports tab. You can find more information on this in the article What are Inspections and what is their role?

Vehicle handover without a report

A vehicle handover (issue or return) can be recorded in three ways: from the handover list, the vehicle list or the user profile.
